MARKETING & EVENTS MANAGER 

Hi`ipaka LLC, Waimea Valley on the North Shore of Oahu is seeking a marketing professional with strong management skills to organize, manage and coordinate Waimea Valley’s marketing strategy and special events. This position reports to the Assistant Executive Director of Support Services and is responsible for the design and execution of a marketing plan and budget to enhance and promote the Waimea Valley visitor experience. The position also includes advertising coordination and placement, social media postings, special promotions, website maintenance, newsletter preparation and dissemination, and special projects assigned by the Executive Director and/or Assistant Executive Director of Support Services. The Marketing and Events Manager will also manage the Waimea Valley special events program with a focus on maximizing venue and facilities rental.

The position supervises the Marketing and Events Assistant and Photograph and Video Specialist who assist with documenting projects and events in the Valley and event coordination. The position also supports all filming requests including site tours, pricing, and contract development, and managing filming events.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

Marketing

Manages all marketing activities for the company, including ensuring that marketing materials are stocked and distributed in designated areas throughout the valley.

Develops a marketing plan in consultation with the Assistant Executive Director of Support Services.

Oversees the company’s marketing budget.

Creates and publishes all marketing material in line with marketing plans.

Plans and implements promotional campaigns.

Prepares online and print marketing campaigns.

Creates a wide range of different marketing materials.

Works closely with the graphic designer on the development of advertising and marketing materials.

Maintains effective internal communications to ensure that all relevant staff is kept informed of marketing activities.

Coordinates and maintains all Waimea Valley digital platforms.  

Special Events/Filming

  • Manages and executes coordination of internal and private events.
  • Supports and supervises filming requests and activities in the Valley.
  • Supervises, sources, and orders supplies, equipment, materials, and needed services for the special events department. 
  • Responds to all event inquiries for information within 48 hours. Conducts site tours for potential clients.
  • Works closely with Ke Nui Kitchen to coordinate site tours, contracts, and logistical planning.
  • Coordinates and oversees events to ensure compliance with established guidelines and procedures.
  • Prepares reports (inquiries, revenue, and survey) to be turned in to the Assistant Executive Director of Support Services on a monthly, quarterly, and annual basis.
  • Acts as liaison with customers, vendors, suppliers, contractors, and members of the general public on special events.
  • Minimum Requirements:
  • 1. Must possess a bachelor's degree in business, marketing, or equivalent work experience. 

2. At least 5 years of management experience in a business setting.

3. Working knowledge of Hawaiian history and culture preferred. 

4. Must have a good working knowledge of office administrative systems.

5. Requires the ability to read a budget.

6. Must be people-oriented and able to work well with others. 

7. Must be organized and a self-starter.  Must exercise independent judgment to prioritize projects and respond to situations as they arise without direct supervision. 

8. Must project a professional demeanor.

9. Must be capable of handling public speaking.  Must have good oral and written communication skills.

10. Must have a valid driver's license.

RETAIL SALES ASSOCIATE (SUMMER HELP)

Hi`ipaka LLC, Waimea Valley on the north shore of Oahu is seeking F/T Summer help to join our retail team in Waimea Valley. The ideal candidate must be friendly, enthusiastic, and highly motivated. The position requires assisting customers with a smile, cashier duties, and demonstrating service excellence with fellow associates and guests. Regularly scheduled attendance is required for this position. Weekend and early evening work are required.

Qualified candidates must be dependable, responsible, have a good work ethic, and be able to work independently and in a team environment. This position involves standing, light lifting, and carrying. Waimea Valley is a seven-day-a-week operation during the Summer and weekend work may be required. ASSISTANT EXECUTIVE DIRECTOR OF VISITOR EXPERIENCES

Hi`ipaka LLC, Waimea Valley on the North Shore of Oahu is seeking a high level professional with strong management skills to oversee several departments to include cultural programs, botanical and conservation group, and retail and visitor services to develop, coordinate, and manage the overall visitor experience, including rich cultural experiences.

                                                                     

Assists Executive Director in growing Waimea Valley in a culturally appropriate way in compliance with acceptable business practices for nonprofits. Additionally this person is expected to create, in alignment with mission and vision, a positive atmosphere for all employees, visitors, and guests. Positive and meaningful visitor experience and service are core values in the management and stewardship of Waimea Valley. It is highly encouraged that staff possess cultural knowledge and practice to facilitate this mission with hospitality, sincerity and aloha.

Position Requirements:
1.         Administrative: Assists Executive Director in gathering information, researching issues, and formulating proposals for strategic plan and annual objectives. Works with Group Managers to compile reports for submission to Executive Director and LLC Managers.

2.         Operations: Works with Group Managers to ensure that programs and daily activities comply with strategic plan and meet annual objectives.

3.         Budgeting and Finance: Works with Executive Director to prepare operating and capital budgets and monitor implementation of approved budgets. Oversees Retail and Visitor Services accounting. Reviews reports to analyze projections of revenue and profit against actual figures, budgeted expenses against final totals, and suggests methods of improving the budgeting process as appropriate. Prepares budget revision as requested.

4.         Planning: Provides assistance in coordinating and prioritizing planning. Conducts research, prepares statistical reports, and handles information requests. Works with Executive Director to identify opportunities and areas that need to be expanded, reorganized, downsized or eliminated. Works with Group Managers to develop their ability to draft their departmental work plans with appropriate tasks and timelines.

5.         Human Resource Management: Assures Group Managers carry out supervisory responsibilities (interviewing, training, assigning, directing, appraising performance, rewarding and disciplining, investigating grievances, and resolving disputes), and assists as needed. Responsible for the same supervisory duties over Group Managers in accordance with Company policies and applicable laws.

6.         Special Management Projects: Assists Executive Director with: (a) preparation of policies and procedures; (b) solicitation, selection, oversight and retention of outside consultants, vendors and suppliers; and (c) any special projects requested by Executive Director.


Educational Requirements:
1.         Must possess a Bachelor’s degree in business administration, administration, Hawaiian culture, botany, conservation, or related field, or equivalent work experience.

2.         Master’s degree in business administration, hospitality, entertainment, or related field preferred.

3. At least ten (10) years management experience,

Housekeeper 

Hi`ipaka LLC, Waimea Valley on the North Shore of Oahu (Haleiwa) is seeking a temporary (May - August/September) housekeeper to work with the Facilities Manager to perform basic housekeeping tasks including such things as emptying trash receptacles, dusting, sweeping, vacuuming, cleaning all floors and surfaces including restrooms, retail shop and pavilion, venue set-up and breakdown. This is a Summer position with limited benefits. Waimea Valley is a seven day a week operation and weekend work is required.


Parking Attendant 

Hi`ipaka LLC, Waimea Valley on the North Shore of Oahu (Haleiwa) is seeking a temporary (May - August/September) parking attendant to provide a safe environment for vehicles coming into the valley and parking in the designated lots. The attendant will greet and welcome guests, assist in the daily operation of the parking facilities, perform litter pick up throughout the parking lots and roadways, assist with crowd control and perform other tasks as assigned. This is a Summer position with limited benefits. Waimea Valley is a seven day a week operation and weekend work is required.

 VISITOR CENTER GREETER 

Greets and welcomes visitors and guests as they enter the Visitor Center. Gives an overview of the historic sites, artifacts, and botanical resources in the Valley. Answers questions. Encourages visitors to consider the cultural walks and tours. Expresses appreciation to visitors and guests as they leave.

Position requirements:

1. Greets and welcomes visitors and guests as they enter the Visitor Center.

2. Greets student groups and tour groups as appropriate.

3. Shares wall map of Waimea Valley and several key points of interest.

4. Talks about activities in the Valley each day.

5. Encourages visitors to consider the cultural and botanical walks and tours, and the hula show (during summer).

6. For guests who want more information, shares details about the historic sites, artifacts, and botanical resources in the Valley.

7. Encourages purchase of Souvenir Book when appropriate.

8. Shares information about shuttles.

9. For kama’aina, talks about kama’aina admission discounts, annual passes, morning walker program, volunteer opportunities, and adopt-a-garden.

10. Promotes events that are coming up.

11. Able to respond to inquiries and/or discuss Hawaiian history, cultural practices, myths, and legends.

12. Assists Marketing & Events Manager by monitoring the condition of signage and making suggestions for signage, exhibits, and self-guided interpretive material for all ages.

Education Requirements:

1. As a minimum, a high school diploma is required. A degree (associate or four-year) in hospitality, Hawaiian Studies, or a related field is desirable.

2. At least two years of relevant community or Hawaiian agency experience.
